Situation room

The Situation room is the first tab of Insights. Read it top to bottom and you know where your revenue stands, what changed, and what to do first. It's built to take a few minutes, once a week.

The Situation room: three money cards, then your top priorities

The line under the tabs tells you how fresh it is: the money figures come from your billing data as it is now, and the insights from the latest weekly or monthly close.

The money right now

At risk now, Likely to leave and Discounts ending

At risk now

The MRR of every customer who hasn't paid their latest invoice, plus every cancellation already scheduled for the next 30 days, with how many customers that is and its share of your MRR. The bar splits it into the two.

Below it, a small line shows unpaid MRR as a share of your MRR over the last 12 months, against its usual level (dashed). Hover it for each month. This is the quickest way to see whether today's unpaid figure is normal for you or not: every business has some customers in dunning, so the level only matters against your own usual.

Customers who have been unpaid for over a year aren't counted. They're very unlikely to pay, so the Revenue at risk tab shows them separately.

See the customers opens the list behind the card.

Likely to leave

Not everything at risk is lost. Most failed payments are paid in the end, and the longer an invoice stays unpaid, the less likely it is to be paid. Likely to leave takes each amount at risk and multiplies it by how often that kind of risk ended in a cancellation in your account over the last year:

  • Unpaid for up to 7 days, unpaid for 8 to 30 days, and unpaid for over 30 days, each with your own share of invoices that were never paid.
  • Cancellations scheduled in the next 30 days count in full.

The result is an honest estimate of the MRR you'll lose if nobody does anything. The table shows the sum, so you can see where the loss comes from. Usually most of the money at risk is recent and most of the likely loss is old. That's why the middle group is the one worth a personal email: still likely to pay, but not for much longer.

The card appears once your account has a year of failed payments to learn from.

Discounts ending

The MRR that's added as customers' discounts end in each of the next three months, as in the CMRR report. It's shown when your discounts have end dates.

That's upside, but a step up in price is also a moment customers cancel. A short note to the customers before their first full-price invoice is often what keeps them. Open in CMRR shows who they are.

Top priorities

Top priorities: the three insights with the most money at stake

The three current insights with the most money at stake, weighed by how sure GrowPanel is about each. Number 1 gets the width of the page and its details; numbers 2 and 3 sit side by side.

Each one shows:

  • The kind (Payments, Churn, Leads and so on), the money at stake (such as "$10.7k/mo unpaid" or "$4.9k above usual") and the period it's about.
  • What happened in one or two sentences, against your usual level, with the chart behind it.
  • A suggestion for what to do, when there is one (see Suggestions).
  • Working on it, We know why and Hide, Ask AI, and a link to the report with the right dates and filters, or to the customers behind it.

Insights you haven't seen before are marked New. Insights that are worth a lot and very unlikely to be chance are marked Important.

Marking an insight

These choices tell GrowPanel, and your team, what you're doing about an insight. They're shared by everyone on the account, and owners and admins make them.

  • Working on it: you're on it. The insight shows Working on it wherever it appears. When it's back to normal, it moves to Recently ended marked You worked on this.
  • We know why: you know what caused it, so it moves down the list and shows Known. For an insight that happened at a point in time, the button opens a menu:
    • Move it down the list: nothing else changes.
    • Add a timeline event…: write what caused it, with more detail if you like, and when it happened. It becomes a timeline event, a flag on every report chart, and the insight shows Explained with what you wrote. Keep this for the big things, like a price change, a move to another billing system or new plans.
    • Not known after all undoes it.
  • Hide: Not now parks it at the bottom of the list, out of the top priorities, until you choose Bring it back. Not relevant to us and The numbers look wrong take it off the start page and tell GrowPanel why. Owners and admins can also Hide all insights about … that kind, and turn them back on in Insights settings.

The Hide menu: Not now, or take it off the page and say why

Good news, like a wave of discounts ending or more failed payments recovered than usual, gets Noted instead of Working on it. Noted moves it down the list.

Click a choice again to undo it. Everything you marked is still under All insights, where you can filter by it. When the same thing happens again later, as a new story, it shows up as a new insight.

When you explain an insight, the suggestions and GrowPanel AI name your explanation as the likely reason instead of guessing.

We look at the reasons as anonymous counts across all accounts, to improve how insights are found. They're never used to train AI models.

Also going on

Also going on: the other current insights, one row each, with one opened

Every other current insight, one row each: its kind, what happened, the money at stake, where it is in its life (Ongoing, Coming up, Stopped) and a small chart. Good news comes after the rest, and what you parked with Not now comes last.

Click a row to open it: the numbers, what drove it, a chart of the last 12 periods with the usual level dashed, a suggestion when there is one, the buttons and a link to the report.

Recently ended

Recently ended: stories that went back to normal or stopped being unusual

Stories that lasted a while, or mattered, and ended in the last couple of months. The label says how they ended: Back to normal, or No longer flagged (still high or low, but no longer unusual, because it's been that way for a while).

Earlier

Earlier: the last year of insights on a timeline by month

Everything from the last year, on a timeline by month. The year stays at the top of the screen while you scroll, and older insights load as you reach them. It's the history of your business in one scroll, and the fastest way to answer "has this happened before?"

Suggestions

Some insights come with a Suggested next step, like "Email the 25 customers who are 8 to 30 days late this week, biggest first."

The number 1 priority, with its suggestion

Some suggestions follow directly from the numbers. The others are written by an AI model (Claude, from Anthropic) at each month-close, and at a week-close when something they depend on changed. It reads your insights from the last three months, the long-term differences between groups of customers, what's coming up and a year of your key figures, and suggests what's most worth doing.

It's instructed to be useful and careful, not clever:

  • Every number must come from the facts it's given, and GrowPanel checks each number it writes.
  • No overclaiming causes. It says "since" or "went with", not "caused", unless the facts show a direct link.
  • Differences between groups usually reflect who those customers are. It never suggests moving customers to another plan, to annual billing or to another payment method to lower churn, unless your data shows that customers who moved actually did better. See Long-term differences.
  • No suggestions from tiny groups.
  • Your decisions are respected. If you changed something and the numbers since show no harm, it suggests keeping the change rather than undoing it "to test". What your team put on the timeline is treated as known, not something to find out.

The model only sees aggregated numbers: totals, rates, trends, plan and region names. Never your customers' names, email addresses or IDs, and not your account's name.

Treat a suggestion as a colleague's idea, not an order. It can't know what it isn't told, like a price change you're planning or a deal about to close. To dig deeper, press Ask AI: GrowPanel AI opens with the insight and starts looking into your reports and customers.
